Why Your Onboarding Process Is Costing You Clients

A slow, confusing onboarding experience is the silent killer of coaching retention. Here's how to fix it in a week.

Most coaches lose clients in the first two weeks, not because the coaching is bad, but because the onboarding is a mess. They send a welcome email, maybe a PDF, and then expect the client to magically show up ready. That's not a process. That's a hope.

A good onboarding process does three things: it sets expectations, it collects what you need, and it delivers a quick win. If your current process doesn't do all three, you're leaving money on the table. The fix isn't complicated. Start by mapping every step a new client takes from payment to first session. You'll probably find gaps—missing information, unclear next steps, or tools that don't talk to each other.

Automate the repetitive parts. Use a form to gather intake details, a template to send your welcome packet, and a checklist to track progress. This isn't about being impersonal; it's about being consistent. When clients know exactly what happens next, they feel taken care of. That feeling is what keeps them around.

I've seen coaches cut their onboarding time in half by simply creating a single welcome page with links to everything. No more back-and-forth emails. No more "where do I find that?" Just a clear path. Try it. Your clients will notice, and so will your retention numbers.
