The Onboarding Audit: Find the Three Hours You Lose Every Week

A simple audit you can run in 30 minutes to find where client onboarding is leaking your time — and the three fixes that recover most of it.

Most coaches don't have an onboarding problem. They have five small onboarding problems that add up to three hours a week. The fix isn't a new platform. It's an audit.

Open a blank doc and list every step between "client says yes" and "first session happens." Be granular. Contract sent. Contract signed. Payment collected. Welcome email. Intake form. Calendar link. Reminder. Pre-work. Now mark each step: manual, semi-manual, or automated. You'll usually find that 80% of your time sits in three steps — and they're almost always the contract, the intake form, and the reminder sequence.

Pick one. Automate it this week. Not all three. For most coaches, the intake form is the cheapest win: a form that pipes answers into a client folder and triggers a welcome email. That's a two-hour setup that saves 40 minutes per client, forever.

Repeat next week. Within a month, onboarding runs itself and you've recovered the hours without changing your coaching at all. The point isn't to be fancy. The point is to stop being the bottleneck in your own business.
