Stop Rebuilding Your Client Onboarding Every Time
A repeatable onboarding system isn’t about being fancy—it’s about not starting from zero with every new client.
Most coaches I talk to have a graveyard of half-built onboarding docs. They start strong with client one, then patch things together for client two, and by client five they’re copying old emails and hoping nothing slips. That’s not a discipline problem. It’s a systems problem.
The fix is embarrassingly simple: build one master onboarding sequence and reuse it. That means one intake form, one welcome email, one portal structure, one kickoff agenda. You customize the content per client, but the container stays the same. The first time you build it, it takes a few hours. Every time after, it takes minutes.
I use a three-part structure: before the call (intake form + prep doc), during the call (agenda + notes template), and after the call (portal invite + first action step). Each part has a single owner: you or an automation. If a step can’t be automated, it gets a checklist item. No step lives only in your head.
The payoff isn’t just time saved. It’s consistency. Clients feel the difference when the experience is smooth, and smooth experiences get referred. Start by writing down every step you took with your last client. That list is your first template.
