Stop Over-Automating Your Coaching Business

Automation should remove friction, not your humanity. Here's how to find the line.

I've seen coaches automate everything from discovery calls to condolence messages. It never ends well. The goal isn't to remove yourself from your business—it's to remove the tasks that don't need your brain.

Start by listing every client touchpoint in your onboarding. Mark each one as 'human required' or 'system friendly.' Welcome videos? Record once, send automatically. Contract signing? Automate. But the first check-in after a big breakthrough? That's a human moment.

A simple rule: if a task requires judgment, empathy, or nuance, keep it manual. If it's a repeatable step with clear inputs and outputs, automate it. That's it.

In my own practice, I automated scheduling, reminders, and resource delivery. I kept every actual conversation manual. Client retention went up, not down.

Automation isn't about scale. It's about giving you more time for the parts that scale you.
