If you're like most coaches, you spend hours each week preparing for new clients—drafting emails, creating intake forms, and assembling welcome packets. It's necessary work, but it doesn't have to eat your entire week. With a few well-designed templates, you can cut that time dramatically.
Start with a single master checklist. List every step from first contact to first session: discovery call, intake form, contract, payment, onboarding email, and prep questionnaire. Turn that into a reusable checklist in Notion or a simple Google Doc. Every time you get a new lead, duplicate the checklist and work through it.
Next, build a welcome packet template. Include your coaching philosophy, what clients can expect, and a few logistics like scheduling and communication. Fill in the specific client details, then send. I've done this with a branded PDF and a short Loom video—it takes 15 minutes total.
Finally, automate the follow-up. Use a tool like Zapier to send a reminder email 48 hours before each session. That alone prevents most no-shows and last-minute cancellations.
