How to Onboard New Coaching Clients in 48 Hours

A step-by-step system to get new clients from signed contract to first session without the usual chaos.

Onboarding is where you set the tone for the entire coaching relationship. Done right, it builds trust and momentum. Done wrong, it creates confusion and drains your energy. Here’s the system that’s helped dozens of coaches get new clients fully on board in under two days.

Start with a single welcome email that outlines what they can expect in the first week. Attach a simple intake form that covers goals, current challenges, and any relevant history. Keep it short—no one wants to fill out a dissertation. Then, schedule a 15-minute pre-session call to review their answers and align on outcomes.

Next, give them a client portal or shared folder where they can access your agreements, worksheets, and resources. This eliminates the back-and-forth of emailing attachments. Use a standard naming convention for files so everything is easy to find.

Finally, send a reminder 24 hours before your first session with a link to your calendar and a short prep note. This reduces no-shows and gets them in the right headspace. By following this sequence, you’ll look organized, professional, and ready to deliver value from day one.
