Start with a welcome email that includes a link to your intake form and a Calendly or Acuity slot for the kickoff call. No need to write a novel. Keep it warm but brief: 'I'm excited to work with you. Please fill this out so I can tailor our session. Then pick a time here.' That's it.
Next, use a standardized client prep document—not a blank page. I use a template that asks for their top three goals, any obstacles they've faced, and a quick 'what does success look like?' This cuts the discovery call in half. Once they submit, the document auto-saves to a folder. You can review it in five minutes before you even meet.
