How to Onboard a New Client in 30 Minutes

Stop spending hours on paperwork. Here's a repeatable system to get clients started in half an hour.

Most coaches spend 2-3 hours onboarding each new client. Between intake forms, scheduling, and sending materials, it eats into your coaching time. But it doesn't have to.

Start with a single intake form that captures everything you need: goals, availability, and medical history. Use a tool like Typeform or Google Forms, and embed it on your booking page. Once submitted, auto-respond with a welcome email that includes a link to your client portal.

Your client portal should house your contract, payment links, and a pre-recorded welcome video. No need for a custom app — a simple Notion page or Google Drive folder works. The key is to have one link that gives clients everything they need.

Finally, schedule a 15-minute kickoff call within the first week. Use that call to clarify expectations and answer questions, not to cover the same ground as your video. This system has helped me onboard over 100 clients without the burnout.
