How to Onboard a Coaching Client in Under 30 Minutes
A step-by-step system to take a client from 'yes' to their first session without the usual admin headache.
Onboarding can eat up hours if you let it. But with a structured system, you can get a client fully onboarded in 30 minutes flat. Here's how.
Start with a one-page welcome doc that covers logistics: session schedule, payment details, and prep work. Keep it to bullet points. Then use a simple intake form — not a novel — asking only what you need to know before session one. I ask three questions: what's your biggest challenge, what have you tried, and what would success look like?
Finally, automate the boring stuff. Set up a calendar link that syncs to your CRM, and use a payment link that sends a receipt automatically. I use Calendly and Stripe, but any tool works. The goal is zero back-and-forth emails.
Your client will feel taken care of. You'll save two hours a week. That's eight hours a month you can spend on coaching — or on your own business growth.
