How to Create a Client Onboarding Checklist That Saves You Hours
A step-by-step guide to building a repeatable onboarding process that reduces prep time and sets clear expectations from day one.
Every time you onboard a new client, you probably do the same thing: scramble to gather intake forms, set up your scheduling links, and write a welcome email that says the same thing in a slightly different way. That's wasted time. A structured onboarding checklist changes that.
Start by listing every action you take between the moment a client signs and their first session. Most coaches come up with 10-15 steps. Group them into phases: pre-session prep, session one, and post-session follow-up. Once you have the list, turn it into a template you can duplicate for each client.
Next, automate the repetitive parts. A simple tool like Notion, Trello, or even a Google Doc can serve as your checklist hub. Include links to your intake form, your calendar, and any pre-work documents. The goal is to have one central place where you can track where each client is in the process.
Finally, review the checklist after your first few clients. What did you miss? What was redundant? Iterate. After a month, you'll have a polished system that cuts your prep time in half and makes your clients feel like they're in good hands.
