How to Create a Client Onboarding Checklist That Saves You 5 Hours a Week

When I first started coaching, I'd spend entire Sundays prepping for new clients. Sending intake forms, scheduling calls, gathering info—it was chaos. Then I built a simple checklist, and my prep time dropped from six hours to one.

The key is to standardize everything that happens after a client pays. Start with a welcome email that includes a link to your onboarding form, a calendar invite, and a short video. That one email kills 80% of the back-and-forth.

Next, automate the paperwork. Use a tool like Typeform or Google Forms to collect client goals, history, and scheduling preferences. Give them a clear deadline, and nudge them once if they forget.

Finally, have a system for the first call. Send an agenda beforehand, and keep a template for notes. After the call, send a recap with action items. This sets the tone for the whole relationship.
