Behind the Scenes: How We Built Our Client Intake Flow
A look at the thinking behind our bestselling intake template — and the mistakes we avoided.
When we set out to create the Client Intake Flow template, we interviewed 15 coaches about their biggest pain points. The number one answer: “I ask too many questions upfront and scare people away.”
So we designed a two-stage intake. Stage one is a short 5-question form that qualifies leads. Only after they book a call do we ask the deeper questions. This simple change increased form completion from 30% to 85% in early tests.
We also added a field for “preferred communication style” — that one question alone reduced back-and-forth emails by 40%. Sometimes the smallest tweaks have the biggest impact.
