Automate client onboarding without losing the human touch

A practical three-step system to cut admin time while making new clients feel personally welcomed.

Most coaches automate the wrong things first. They build a welcome email sequence that feels like a receipt, then wonder why clients don't engage. The fix isn't more automation—it's better sequencing.

Start with a single intake form that asks only what you'll actually use in session one. Name, goal, obstacle, and preferred communication channel. Everything else can wait. This one change removes the back-and-forth that eats your first week with a new client.

Next, create a welcome page that bundles your calendar link, session expectations, and a short video from you. Record it once, update it quarterly. Clients watch a two-minute video more often than they read a ten-page PDF, and it sets the tone without you repeating yourself.

Finally, automate the reminders but keep the check-ins personal. Let software handle scheduling and payment nudges. You handle the "how did that exercise go?" message. That's the balance: automate logistics, personalize coaching.

If you want a starting point, our onboarding bundle includes the exact intake form, welcome page template, and reminder sequence we use. It takes about an hour to customize and saves you weeks of trial and error.
